Visit control
Review scheduled and completed visits with map, list, and detail views on the web.
Audience: Admin · Supervisor
Visit control is the operational hub on the web for today's field activity. Supervisors use it to answer: Who is in the field? Did they reach the place? What evidence and forms did they leave behind?
Overview
The module combines list, map, and detail views over the same visit records mobile users create. Data refreshes as sync completes—there is no separate "import" step for standard visits.
Open Visit control from the main web navigation (wording may vary by locale: "Visit control", "Activities", or "Check-ins").
List view
The list is optimized for same-day review:
- Filters — date (default today), team, user, visit type, place, status.
- Columns — start/end time, user, place name, visit type, comment preview, form completion indicators.
- Search — quick lookup by place, user, or free-text comment.
- Sort — by time or place to spot late arrivals or gaps in coverage.
Click a row to open the detail sheet without losing filter context.
Map view
The map plots visits with GPS coordinates captured at check-in or during the visit (depending on visit type rules):
- Pins — color or icon often reflects visit type or status.
- Clustering — dense urban routes collapse into clusters; zoom to expand.
- Selection — click a pin to jump to the same detail sheet as the list.
Use the map to verify geographic coverage—for example, confirming audits happened inside the customer geofence. Pair with GPS tracking when you need continuous route history, not just visit points.
Detail sheet
Each visit record exposes:
| Section | Contents |
|---|---|
| Header | User, place, visit type, timestamps, duration |
| Location | Coordinates, accuracy, map thumbnail |
| Forms | Linked submissions; open to read answers and attachments |
| Media | Photos, signatures, files uploaded during the visit |
| Comments | Field notes and supervisor replies |
| Tasks / workflows | Follow-ups created from this visit, if any |
From detail you can often reassign, add comments, or export a single visit PDF when your plan includes it.
Visit types and volume
Visit control respects check-in types configured by admins. Summary tiles or charts (when enabled) show distribution by type—useful to see if the team skews toward one activity and neglects others.
Misconfigured types (duplicates, wrong required forms) show up here as inconsistent detail panels. See Check-in types.
Typical workflows
Morning stand-up — filter by team + today; scan map for users who have not checked in.
Exception handling — search a place; open detail; compare form answers vs. SLA.
Client audit — export visit list for date range + visit type; attach form report export from Reports from forms.
Tips
- Review exceptions the same day while field context is fresh (Visits day-to-day).
- Align filters with one visit type when comparing KPIs.
- If location looks wrong, check mobile GPS permissions and visit type GPS rules before blaming the user.
- Supervisors without admin rights can use Visit control but cannot change form design.
