Forms are designed on the web and delivered to your phone inside a visit. You fill them during check-in; answers sync with the visit record.
Before you start
Open the visit and confirm the visit type—that decides which forms appear. If a form is missing, ask your supervisor before forcing a different type.
Required vs optional
Questions marked required must be answered before you can submit the form or complete the visit. Optional questions can be skipped unless your company’s process says otherwise.
If submit is blocked, scroll for red highlights or error messages—usually a required field or an invalid number format.
Conditionals that appear as you answer
Many forms use conditional logic: choosing “Yes” on one question may reveal follow-up fields; choosing “No” may hide them. Answer in order when possible so hidden sections do not surprise you at the end.
You cannot change conditional rules on mobile. If a question seems wrong, report it to the office—admins adjust logic in Form Builder.
Lists filtered by place
List fields may show choices from a data source. When configured, options can be filtered by the visit’s place (for example only products sold at that store, or contacts for that client).
If a list looks empty, confirm you selected the correct place for the visit. The filter uses visit context—not a separate GPS field in the form.
Photos and signatures
- Photo fields open the camera (or gallery, if allowed). Take clear, well-lit shots; retake if blurry.
- Signature fields let the customer or witness sign on screen. Hand the phone flat and confirm before saving.
Both attach to the form response and appear on the web with the visit.
After you submit
When the form is submitted:
- Answers save to the visit and upload on sync.
- Supervisors can review them under form responses on the web.
- If your organization enabled automations or Operations, a workflow may create a task, send a notification, or open a follow-up record—without any extra step from you.
Stay online briefly after submit so nothing stays queued locally.
Tips
- Complete required questions before leaving the site.
- For long forms, use comments only when the question asks for them—do not paste notes into unrelated fields.
- Test new forms on a real device during rollout week; tell the office if conditionals behave oddly.
